This Privacy Policy describes how Entity Solutions LLC ("Entity," "we," "our," or "us") collects, uses, and protects information when you visit entitysolutions.co, communicate with us, or use our managed IT and network installation services.
1. Information we collect
We collect the following categories of information:
- Contact information you provide via web forms, email, or phone: name, business name, work email address, business phone number, business address.
- Domain technical information when you request a free IT health check: the public DNS records of the domain you submit (SPF, DKIM, DMARC). We do not access mailbox contents.
- Service-delivery data for active clients: device inventory, network configuration, account credentials we manage on your behalf, ticket history, log data necessary to provide the contracted services.
- Website analytics via our self-hosted Plausible instance: aggregated, anonymous page views and referrers. No cookies are set for analytics. No cross-site tracking.
2. How we use information
- To respond to inquiries and deliver requested services (e.g., the free IT health check report).
- To deliver the managed IT and network installation services contracted by active clients.
- To send invoices and contractually required communications.
- To comply with legal obligations and respond to lawful requests.
- To improve our services through aggregated, anonymized analytics.
3. Information sharing
We do not sell your information. We share information only as needed:
- With service providers who process information on our behalf (email delivery, hosting, backup) under written contractual data-protection obligations.
- When required by law, subpoena, or to protect our legal rights.
- To a successor entity in the event of merger or asset sale, subject to this Privacy Policy continuing to apply.
Mobile Information Sharing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. A phone number you give us is used only to reply to your enquiry or support your account.
4. Data retention
We retain information only as long as needed to provide services and meet legal obligations:
- Web form submissions: 12 months from the date received, unless you become a client (in which case the engagement record retention applies).
- Active client data: for the duration of the engagement plus 60 days for handover, per the Master Services Agreement.
- Aggregated analytics: indefinitely, in anonymized form only.
5. Data security
We apply commercially reasonable administrative, technical, and physical safeguards to protect information against unauthorized access, alteration, disclosure, or destruction. These include encryption in transit (TLS 1.2+), encryption at rest for sensitive stores, multi-factor authentication on every administrative account, written incident-response procedures, and regular review of access controls. No system is perfectly secure, and we cannot guarantee absolute security.
6. Your rights
Depending on your jurisdiction, you may have the right to:
- Access the information we hold about you.
- Request correction of inaccurate information.
- Request deletion (subject to legal retention requirements).
- Opt out of communications at any time.
- File a complaint with your local data-protection authority.
For California residents: you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what categories of information are collected, the right to delete, and the right to non-discrimination for exercising your rights. 7. Children's privacy
This website and our services are not directed at children under 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us and we will delete it.
8. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be announced on this page with a revised effective date. Continued use of our services after the effective date constitutes acceptance of the revised policy.
